Booking Terms & Conditions

BOOKING YOUR HOLIDAY:
You can select to enquire either by sending us an email (enquiries@aquelabanda.com) or by telephone.  We will return your email with full details of our availability and a booking form.  To confirm your booking you need to complete the booking form and to pay a deposit of 30%.  The balance is then due in cash on your arrival or by bank transfer no less than 14-days before your arrival.

If you are making a booking within the 14-day timeframe, your credit card details (as found on your booking form) will be also held against the cancellation clause found below.

Your booking form can either be emailed, faxed or posted.  You may only post your booking form if you are not booking within the 14-day timeframe.  Where you select to post your signed booking form you are required to email us a copy of your completed booking form in advance.

PRICES / COSTS:
The prices quoted on the Aquela Banda website are the current prices in Euro’s.  All payments are to be made in Euro’s.

Prices will be quoted in the availability email in response to your enquiry.  This price is the confirmed price of your accommodation, which will appear on your booking form, and as such no additional costs for your accommodation may be requested.  Each enquiry response will be valid for a period of 14-days.  Therefore should the price have increased between your enquiry and your booking, where your booking is more than 14-days from the date of our response to your enquiry, and the price has increased – the increased price will be the confirmed price of your accommodation.

CONFIRMING YOUR HOLIDAY:
On receipt of your booking form and your deposit, your confirmation email will include a Booking Confirmation, which provides you with full details of your accommodation, and detailed Directions on how to get to Aquela Banda from the airport.  Should you need directions from another location on the island, please do not hesitate to ask.

CHECK-IN/CHECK-OUT:
Check-in is between 14:00 and 18:00, although later check-in can be arranged in advance.  For early arrivals, cases can be left at the hotel until check-in.  Check-out is no later than 10:30am.  For late departures, cases can be left with the hotel.

These times are to accommodate turn around and cleaning between clients.  Therefore any requests for late check-out requests are dependent upon other reservations.

ACCOMMODATION
Unless otherwise notified all utilities are included – water, electricity, gas, TV.  Each bedroom and apartment has its own balcony, from which you have a wonderful view over the Atlantic Ocean and of the mountains.

Bedrooms
Each of the 7 double bedrooms has a double bed, an ensuite bathroom with a bath and shower, sofa/chairs and coffee table, TV, fridge, kettle with coffee/tea making facilities, and an air conditioner.  Of the 7 bedrooms, 3 have sofa-beds.

In terms of linen and towels, each room is equipped with linen and pillows for the double bed.  Where an additional guest is booked into the room, linen is provided.  A bathmat and a set of towels is provided for each guest staying in the room.  None of the towels from the bathroom may be taken to the beach. 

Apartments
Each of the 2 studio apartments has a double bed, an ensuite bathroom with shower and a washing machine, sofa and coffee table, TV, fridge (with a small freezer compartment), cooking facilities (hob, oven and microwave), kettle, and an air conditioner.   

The third apartment is a 2 bedroom apartment which has a double bedroom with a double bed, a single bedroom with a single bed, a bathroom with shower and a washing machine, sofa and coffee table, TV, fridge (with a small freezer compartment), cooking facilities (hob, oven and microwave), kettle, and an air conditioner.

In terms of linen and towels, each apartment is equipped with linen and pillows for the double bed.  Where an additional guest is booked into the room, linen is provided.  A bathmat and a set of towels is provided for each guest staying in the room.  None of the towels from the bathroom may be taken to the beach.  In addition each apartment is equipped with a kitchen towel.

In terms of pots, pans, crockery, glasses, cutlery, etc. each apartment is equipped to cater for the permitted occupancy.  A full inventory of equipment is listed in each apartment’s information book. 

CLEANING
Each room and apartment is cleaned before your arrival.  For guests staying for a week, each room and apartment is cleaned mid-week with a linen and towel change.  For guests staying longer than a week, each room and apartment is also cleaned weekly with a linen and towel change.

If additional cleaning, linen or towels is required, these can be arranged through reception for an additional charge.

ACCESS TO EACH ROOM/APARTMENT
Aquela Banda reserves the right of entry to each room and apartment at a reasonable time for cleaning, inspection or maintenance.

SMOKING:
Smoking is not allowed in the bedrooms or anywhere within the hotel.  Smoking is allowed on the balconies and on the coffee shop patio outside the front of the hotel. 

If you do smoke, please request an ashtray for your balcony.  We would appreciate it if you would only dispose of cigarette butts in the appropriate receptacles.  Please do not throw cigarette butts in the garden beds.

PETS:
Pets are not generally allowed.

YOUR RESPONSIBILITY:
At Aquela Banda we like to maintain a quiet and relaxing atmosphere for the enjoyment of all our guests.  As guests at Aquela Banda you are expected to conduct yourselves responsibly and with consideration of our other guests.

Only those people named on the booking form may stay in the accommodation confirmed on the Booking Confirmation.  In the event that the maximum number allowed at the property is exceeded without the prior agreement, we reserve the right to terminate the booking or receive full payment for the additional person/people.

You must maintain the accommodation in the same state of repair and condition as you found it on the date of your arrival.  Any breakages should be reported straight away.  We would appreciate it, if you were to leave your accommodation in a condition (general order and repair) that you would like to find it.

Aquela Banda reserves the right to remove, without refund, any guests who do not meet with our Booking Terms and Conditions.

PERSONAL PROPERTY.
Each guest staying in Aquela Banda is provided with a key to their accommodation and where they are staying in a double room, a key to the front door.  Although Madeira’s crime rate is one of the lowest recorded, we request that you maintain levels of security by ensuring that your accommodation door is locked when you are not in residence, and that the hotel doors are locked at all times.

In relation to our Personal Travel Insurance clause, we recommend that all our guests arrange a comprehensive travel insurance that covers not only your travelling arrangements and accommodation but also covers all your personal property.  Aquela Banda bears no responsibility for damage, loss or theft of personal property.

PERSONAL TRAVEL INSURANCE:
Should you think your trip to Madeira might be in jeopardy of being cancelled, we strongly recommend that you take out travel insurance to cover you and provide peace of mind for unforeseen circumstances.  It is your responsibility to ensure that the travel insurance you acquire is adequate and appropriate for your trip.  We recommend that you read your policy details and bring them with you.  In line with our cancellation clause, Aquela Banda cannot accept responsibility in the event you have not arranged adequate travel insurance.

ALTERATIONS TO YOUR BOOKING:
Should you need to change your booking, we will try and accommodate your changes as far as we are able.  Where we are unable to accommodation your change, or you need to cancel your booking, please see the cancellation clause below.

CANCELLATION AND REFUND POLICY
Where you cancel your accommodation, once the booking has been confirmed, the following charges apply:

  • 8 weeks or more before your arrival date, a full refund of all payments made, less any bank transfer charges.
  • between 8 weeks and 2 weeks (14-days) before your arrival date, you forfeit your deposit
  • between 2 weeks (14-days) and your arrival date, you forfeit the full cost of your booking.  Where you have only paid the deposit, the balance of the cost of your booking will be taken from your credit card – in line with the Security and Damage Deposit clause below.

CANCELLATIONS BY AQUELA BANDA:
In the very unlikely event that Aquela Banda has to cancel your booking due to circumstances beyond our control (e.g. flood, fire, etc.), Aquela Banda will reimburse the total amount paid by you for the accommodation.  

Although not our responsibility, Aquela Banda will endeavour to assist you in finding alternative accommodation.

Any other or third party costs, such as, but not limited to compensation, flights, transfers, car rentals etc., will not be reimbursed by the Aquela Banda under any circumstances.

SECURITY AND DAMAGE DEPOSIT:
A security deposit is required in line with our Cancellation and Refund Policy above.  Where you cancel your booking between 2 weeks (14-days) and your arrival date and you have only paid your deposit, the balance will be taken from your credit card plus a credit card charge of 2.5%.

A security and damage deposit is required against breakage, damage, additional cleaning, and any rental or any optional extra’s requested not paid for before your departure.  Aquela Banda reserves the right to place a charge on your credit card where any of the points listed in these Booking Terms and Conditions occur.  Where a charge will be incurred, you will be notified by email of the details and the charge plus a credit card charge of 2.5% will be processed within 14-days of your departure date.

COMPLAINTS AND RESOLUTION:
All complaints must be notified to Aquela Banda immediately.  Where a complaint is not notified to us immediately, you have seriously hampered our opportunity to investigate the complaint.  Therefore unless you can provide us with a valid reason for not notifying us immediately, Aquela Banda cannot be held liable for your complaint.

PRIVACY POLICY:
When you browse the Aquela Banda website, we do not collect personal information about you.  The only way in which we can collect personal information is when you provide it to us as part of an enquiry, an email you send in, or on a booking form.

In order to respond to your enquiry and to process your booking we need to collect certain personal information; which will include name, address, telephone number(s), credit card details, names of your party, special requirements.  With the exception of your credit card details, all details are stored in a secure database in a safe environment to prevent unauthorised access.  The only place that your credit card details are stored is on your booking form. 

All our communication is through the use of email – electronic communication.  As part of these Booking Terms and Conditions you consent to receive information from us electronically. 

The only reason we would provide a third party with your personal information is to allow us to progress your booking, provide you with the accommodation and related services you have requested, for the purpose of associated administration, for contact, and our newsletter.  We do not provide any personal details to related, or third party organisations. 

BOOKING TERMS & CONDITIONS:
Where requested, we will endeavour to provide accurate and updated translations.  In the case of a discrepancy the English version will be the definitive.
